Who Are We Looking For?
MCLC endeavors to recruit well-rounded professional staff with intelligence and a strong work ethic. We
are currently seeking a part-time Billing & Administrative Assistant to join our Albany office. The ideal
candidate will have experience in legal billing, vendor invoices, an understanding of legal office procedures, exceptional organizational skills, and will be responsible for:

  • Data entry, editing, customizing, and processing of client invoices in accordance with retainer
    agreements.
  • Assist the Administrative team, attorneys, and professional staff as needed.
  • Generate, review, and distribute pre-bills.
  • Edit time and expense entries.
  • Prepare, edit, and process bills.
  • Modify and finalize invoices, assist with complex billing, and handle billing-related issues with
    partners, clients, and third-party administrators. Forward invoices to clients through mail, email, or
    the e-billing process.
  • Forward invoices to clients through mail, email, or the e-billing process.
  • Review and process write-downs, write-offs, and transfers of time.
  • Submit electronically billed invoices to various vendors, which includes follow-up on invoice status,
    address appeals, short pays, rejections, budgets, etc.
  • Work to prevent and resolve billing errors.
  • WIP reporting, tracking and follow-up.
  • Support collection procedures of overdue accounts receivable.
  • Data entry of vendor invoices for payment.
  • Routinely troubleshoot problems including interacting with attorneys and proactively addressing
    unbilled time and costs in addition to accounts receivable issues.
  • Maintain confidentiality of sensitive client and billing information at all times.

Qualifications

  • 2+ years of legal billing experience, or professional services billing experience, required.
  • Familiarity with various e-billing vendors is a plus.
  • Proficient in Microsoft Suite (Word, Excel, Outlook, Teams); Excel necessary.
  • Experience with QuickBooks required.
  • Experience with real estate matters is a plus ++.
  • Effective communication skills (verbal and written) with the ability to develop positive working
    relationships (in-person and virtually).
  • Meticulous attention to detail and accuracy.
  • Committed to meeting deadlines as assigned.
  • Ability to manage multiple tasks with effective organizational skills.
  • Proven problem solving, critical thinking, and decision-making skills.
  • Strong client service focus and willingness to accept new challenges and responsibilities.
  • Unquestioned integrity and professionalism.

This is a part-time position, 20 hours per week, up to $22.00/hour and earned sick time. Again,
no high-rise, no huge office, no high-end furniture. But you will get a casual dress environment, cooperative, and friendly workplace with holiday, birthday, and no-reason celebrations, and all the free parking our suburban parking lot can offer. Oh, and our pool table, dart board, video games, and pinball machine are located in the heart of the firm. The general work hours for this position are flexible within the 9:00 a.m. to 5:00 p.m., Monday through Friday, workweek.
